Frequently asked questions

Straight answers, in plain words.

What is FormFlow?

Digital site paperwork. Your company builds its forms — inspections, permits, checklists, sign-offs — on the website, and the crew fill them in on their phones or in a browser, on site. Answers, photos, signatures and locations all land in one place instead of in a van full of paper.

How do I get an account?

Your company invites you. Someone running your workspace sends an invite to your work email, you set a password, and their forms are ready for you. There is no public sign-up page — an account only makes sense inside a company’s workspace. If you want FormFlow for your company, write to hello@naylosystems.com.

Does it work with no signal?

Yes — that is the point of it. You need signal once, to sign in. After that the app keeps a copy of your forms and site documents on the phone. A form filled in a basement waits safely on the phone and sends itself when coverage returns; you can watch it leave in the outbox. Site documents your workspace has synced — method statements, permits, drawings — open with no signal at all.

I filled a form in a dead zone and signed out. Is it lost?

No. Signing out wipes your data from the phone except finished forms still waiting to send — those stay until they reach the server, on purpose, so signing out in a dead zone can’t destroy a day’s work.

Can a submission be quietly changed after it’s filed?

No. Corrections keep a permanent before-and-after record, and multi-stage forms keep a sign-off trail — who approved, who sent back, and when. These are site records, and their value is that they cannot be silently altered. That’s deliberate and it is not configurable.

Who can see what I file?

Access follows the badge your workspace gave you. A field worker sees their own work; supervisors, managers and admins see progressively more. The rules are enforced in the database itself, not just hidden in the app’s screens.

What phones does it run on?

Android and iPhone, and in the browser on anything else — the website installs to a home screen and works offline too. Ask whoever runs your workspace which your company uses.

What documents can I read offline?

PDF, Word, Excel, CSV, images and plain text — drawn inside the app, no other software needed. Rarer types (PowerPoint, ZIP) hand over to whatever app on your phone owns them, which needs a connection.

I’ve forgotten my password.

On the sign-in screen — phone or website — tap “Forgotten your password?”. It emails you a one-time code; type the code and a new password and you’re back in. No laptop required.

Do you track me?

No. No cookies, no analytics, no advertising, no tracking of any kind. Your location is recorded only when you tap the button on a location question — never in the background. The full detail is in the privacy policy, which is short and in plain words.
